Project Online: go with the workflow
AfroCentric has embarked on a transformation, part of which is digitalisation and ensuring the free flow of timely communication.
Projects are a key enabler of this transformation, which means improving our project-related communication is vital. The introduction of strategic levers and capabilities, along with reporting at the portfolio, programme and project levels, necessitated a more effective tool set.
In addition, the flow of project communication needs to be standardised across the AfroCentric Group and not be siloed within subsidiaries.
Embracing the transformation, the Strategic Enablement Hub, or SEHub, has begun upgrading AfroCentric’s project management process and technology.
The most agile way to work
Medscheme currently uses enterprise project management (EPM), a server-based solution with limited functionality for linking portfolios, programmes and projects and facilitating an agile way of work.
We are now nearing the end of Phase 1 of upgrading to Project Online (POL). Although it’s still loosely based on the EPM principles, this new solution is cloud-based, making security and functionality upgrades more seamless.
POL integrates with front-end project management tools such as Jira, Azure DevOps, Kanban and Microsoft Teams. These integrations will minimise duplication of work because progress reports will automatically be passed on to POL, facilitating up-to-date reporting.
Phase 2 of our upgrade to POL will entail integration and enhanced targeted reporting.
Holistic solution
To provide a holistic project management solution for all subsidiaries, we designed the tool and initially piloted it with three AfroCentric subsidiaries. The aim was to achieve a balanced system that supports our new way of working. As a result, it now functions as a data hub, incorporating portfolios and programmes related to the different capabilities. Requests for information and notifications to all parties are now automatically distributed via workflows at the various stages.
Once a project has passed through the pipeline prioritisation process, including the appropriate capability, and become “active”, progress reports will be passed on via updates, either through integration with the chosen front end or directly on POL. This reporting functionality is available to the portfolio or programme owner and project managers.
